TGI�s first Interactive face to face Study
Coordinator Meeting was conducted by the Renal group in support of the TRACK
Trial and the Renal Lifecycle Study on 31st July 2024 at Fishburners, Sydney. The purpose of this meeting was to
provide study updates and timelines, bring together Study Coordinators and
open the floor for the Study Coordinators to discuss recruitment and
retention challenges and what best strategies can be implemented at sites
that may assist them to overcome these challenges.
A/Prof Sunil Badve (Chief Investigator of
the TRACK and Renal Lifecycle Trials) presented tips for recruitment and
participant retention. Yulan Shen (From Wollongong Hospital), Amanda
Collings (From Bendigo Health) and Sayini Pirabhahar (From St George Hospital)
shared some valuable insights around this topic.
They proposed strategies such as developing site
specific posters to display in common areas of the hospital to
attract participants, sharing trial details with heads of specific hospital
departments so they can help in driving more potential participants by
sharing the benefits of taking part in the trial and weekly updates sent by
Study Coordinators to the department heads about various trials to drive
healthy competition. They also gave valuable suggestions on what TGI could
do best to support trial operational activities within sites; for example,
updating sites with constant study reminders and recaping
the procedures and requirements. Overall, TGI received positive feedback
and tips for future from attendees:
�I just wanted to say that I really enjoyed the session and
appreciated the opportunity to meet face-to-face with other study
coordinators and study teams. It was great to connect and collaborate in
person. I believe it was a strong start.�
�It was my first coordinator meeting, and as a VERY new study
coordinator I felt very welcomed by the organisers which definitely
helped my 'imposter syndrome'. I found the ideas shared by other
hospitals really helpful!�
�A lot of
people were shy so I think doing breakout sessions
to engage more people. Separate the table into groups of 4-5; have everyone
change tables with each session so you a consistently engaging and sitting
next to someone different! Otherwise appreciate Namrata, Aline, Fay,
Kousthubha and Joy for all your efforts and continuous support!!!�
Most Study Coordinators said that
attending this type of meeting was new to them and that they learnt a lot
from each other. TGI is planning to organise more such events in future.
